    Document management is an essential component in public institutions, as it ensures timely, secure, and organized access to information. In the case of the Empresa Pública Municipal Mercado Mayorista Ambato (EP-EMA), deficiencies were identified in the handling and control of documents, limiting administrative efficiency and compliance with regulations. This situation motivated the search for a technological solution to modernize the institution’s document management processes. The project proposed the implementation of an Integrated Document Management and Tracking System (SIGD) based on open-source tools and web technologies. The solution is designed to integrate the various document flows of the organization, allowing for a structured administration of information from its creation to its archiving or elimination, following principles such as authenticity, integrity, and availability. The project development was based on technical, organizational, and regulatory analysis, ensuring that the proposed system would be scalable, sustainable, and aligned with current regulatory frameworks, including ISO 15489, ISO 30301, and the Technical Regulation for the Organization and Maintenance of Public Archives. As a result, a web application was implemented to meet the institution’s requirements. The project was managed using the Xtreme Programming (XP) methodology, which allowed flexible execution adapted to the available resources. The implemented solution improved the organization, accessibility, and traceability of information. Additionally, it is expected to strengthen administrative processes and promote a more efficient, transparent, and results-oriented organizational culture.

    Sistema web de gestión documental para el desempeño operativo en procesos de calidad de producto en el área de calidad de la Empresa Eléctrica Ambato Regional Centro Norte S.A. (EEASA)

    Inefficient information management in the electric sector, characterized by manual and decentralized processes, compromises service quality and regulatory compliance. At Empresa El´ectrica Regional Ambato Centro Norte S.A. (EEASA), which operates in Tungurahua, Napo, and Pastaza, the integration of technical and operational data across multiple zones is hindered by high demand and disorganized documentation, leading to delays, errors, and information loss. To address this issue, a web-based system was designed and implemented to optimize technical document management by centralizing and consolidating data, enhancing traceability, and streamlining information integration across zones. This solution improves operational efficiency and strengthens regulatory compliance in EEASA’s quality department. The development followed the Extreme Programming (XP) agile methodology, using technologies compatible with EEASA’s infrastructure: Angular and Spring Boot for a scalable architecture, Oracle Database for data management, and Oracle WebLogic for deployment. Requirements gathering was conducted through technical interviews based on the IEEE Std 830-1998 standard. The system’s implementation reduced the time required for receiving, consolidating, merging, and tracking information by 51.3 %, optimizing resources in the quality department and improving the evaluation of electric product quality attributes. This system establishes an efficient and sustainable document management model, reinforcing EEASA’s commitment to operational excellence and regulatory compliance.

    Aplicación web usando el framework angular para la gestión documental en el área administrativa de la Cooperativa de Ahorro y Crédito Chibuleo Ltda.

    Currently, both public and private institutions manage a large volume of documents for internal and external communication daily. However, one of the main challenges is the lack of traceability, which hinders the tracking, access, and efficient management of information. For this reason, the objective of this project is to implement a web application using the Angular framework for document management in the Administrative Area of Cooperativa de Ahorro y Crédito Chibuleo Ltda. To address this problem, an applied research was carried out to identify the needs of the area and define the functional requirements of the system. The developed solution uses Angular for the creation of the frontend and .NET for the construction of the backend. In addition, the Lean Software Development methodology was applied, which allowed an agile development and incremental deliveries with a focus on quality in each phase. The implementation of the system generated significant improvements in the Cooperative's document management. Among the main results are the reduction of time in administrative processes, the increase in productivity and the guarantee of transparency in document management. It also strengthened control and traceability, allowing complete tracking of documents from their creation to their final destination, ensuring more efficient and reliable management

    Automatización del sistema de documentación empresarial en el Laboratorio Neo-Fármaco

    Administrative processes, when carried out manually, can be challenging. In the pharmaceutical industry, accuracy is essential; thus, processes such as document management using conventional methods are prone to human error, inefficient in information retrieval, and risky in terms of data integrity. This regulated environment requires strict control of records to ensure traceability and transparency. Laboratorio Neo-Fármaco faces these challenges in its commitment to Good Manufacturing and Documentation Practices. Currently, the manual process causes repetition of document codes and delays, jeopardizing the integrity of information due to possible uncontrolled alterations, and consuming a lot of time in validation. To address these problems, a web-based document management system is implemented. The research line involved in this work is Information Technology and Control Systems. The project begins with information gathering through technical interviews with all process owners to understand their needs. Subsequently, a requirements analysis is performed using the ISO/IEC/IEEE 29148:2018 standard. For the design and implementation, tools selected from comparative tables are used. Finally, system testing involves validating compliance with the defined requirements, conducting a survey to measure usability with the SUS, and culminating in a questionnaire where users expressed their perceptions of operational efficiency with the new software in document management.

    The present investigation is based on the development of a Web System for the management of documents generated by the electrical analyzers, for the control of indexes according to the ARCONEL Regulation in Empresa Eléctrica Ambato Regional Centro Norte S.A. using the agile methodology XP as the best option for the development of the software, for constant communication with users, improving the feedback in each iteration. The Agency of Regulation and Control of Electricity (ARCONEL), has a document on the limits and indices that helped the development of the system, this regulation is the main record with which the Procedures for the project were carried out. The main objective of this project is to improve the manual processes reducing time and resources, through the Document Process Management (DPM) technique that allows to organize the steps for the processing of documents until they are saved in the database. DPM is efficient since as this technique focuses on Document flows. For this project, it was used as a MySQL database manager, and as support tools it was used AJAX Toolkit, JS, Bootstrap were used as tools to improve the web system. The project allowed to manage the documents and calculate each electrical magnitude of the substations, transformers, medium and low voltage meters through the ARCONEL laws, and thus optimize the time thanks largely to the use of the XP methodology and develop it using the DPM technique, which has been the basis for the development of the project and thus improve each process.
